This Privacy Policy explains how we collect, use, disclose, and safeguard information in connection with the Orin Learning platform, applications, and related services (collectively, the "Services"). By using or accessing our Services, you acknowledge that you accept the practices and policies outlined below, and you hereby consent that we will collect, use, and share your information as described in this Privacy Policy.

This Privacy Policy applies to:

  • visitors to our website;

  • Institutions that contract with Orin; and

  • individual users of the Services, including administrators, faculty, learners, and individual subscribers.

This Policy should be read together with our Terms & Conditions.

1. Roles and Responsibilities

1.1 Institutional Use

When Orin provides Services to an Institution, Orin acts primarily as a data processor, processing personal data on behalf of the Institution for educational purposes.

The Institution is responsible for:

  • determining the purposes of processing;

  • providing required notices; and

  • obtaining any necessary consents from students or participants.

1.2 Direct and Marketing Use

For visitors to our website and individual subscribers, Orin acts as a data controller with respect to personal data collected directly.

2. Information We Collect

2.1 Information You Provide

We may collect information you provide directly, including:

  • name, email address, and contact details;

  • account credentials and profile information;

  • communications with Orin (e.g., support requests);

  • recordings, transcripts, and session-related content uploaded or created through the Services.

2.2 Information Collected Automatically

When you access the Services, we may collect:

  • IP address and approximate location;

  • device, browser, and operating system information;

  • usage data, logs, and interaction metadata;

  • cookies and similar technologies.

2.3 Institutional Data

Institutions may provide Orin with learner or participant data, which may include educational records or performance-related information, processed solely to provide the Services.

3. How We Use Information

We use information to:

  • provide, operate, and maintain the Services;

  • generate educational feedback, analytics, and insights;

  • authenticate users and manage accounts;

  • respond to support inquiries;

  • comply with legal obligations;

  • improve the Services, as permitted under our Terms & Conditions.

4. AI Processing and Model Training

4.1 AI-Assisted Processing

Orin uses artificial intelligence and automated systems to analyze recordings, transcripts, and session data to generate educational feedback and insights. These systems support human decision-making and do not produce automated decisions.

4.2 Model Training

Customer data is not used for model training unless expressly authorized by the applicable data controller, as described below.

Institution-Sponsored Users. For users accessing the Services through an Institution, customer data is not used for model training unless explicitly authorized by the contracting Institution through a written agreement, order form, or similar authorization.

Individual Subscribers. For users who access the Services as individual subscribers (including users who transition from Institution-sponsored access to individual use), customer data is not used for model training unless the individual user has affirmatively opted in.

Where model training is authorized:

  • only de-identified and aggregated data may be used;

  • raw audio or video recordings are excluded;

  • training is limited to Orin-controlled models; and

  • data is not used to train third-party foundation or general-purpose AI models.

4.3 Individual Opt-Out

Any individual user may opt out of model training at any time by submitting a request to Orin’s support team. Upon opt-out, Orin will ensure that the user’s data is not used in any future model training, regardless of account type or prior institutional authorization. Opt-out applies prospectively.

Orin may also provide in-product controls for managing these preferences.

5. Data Retention

Orin retains personal data only for as long as necessary to provide the Services, fulfill contractual obligations, and comply with applicable legal, regulatory, audit, or accreditation requirements.

Upon termination or expiration of an account, personal data will be deleted or de-identified within a reasonable period, unless retention is required or permitted by law.

6. Data Sharing and Disclosure

Orin does not sell personal data.

We may disclose data:

  • to service providers who assist in operating the Services, subject to confidentiality obligations;

  • to Institutions, as directed by them;

  • to comply with legal obligations or lawful requests;

  • to protect the rights, safety, or security of Orin, users, or others.

7. Data Security

Orin implements reasonable administrative, technical, and organizational measures designed to protect personal data against unauthorized access, loss, misuse, or disclosure. However, no system can be guaranteed to be 100% secure.

8. Your Rights and Choices

Depending on your location and role, you may have rights to:

  • access, correct, or delete personal data;

  • restrict or object to certain processing;

  • withdraw consent where applicable.

Requests may be submitted to Orin or, for Institution-sponsored users, through the Institution.

9. Children’s Privacy

The Services are intended for use by adults and educational institutions. Orin does not knowingly collect personal data from children under 13 except as authorized by an Institution in compliance with applicable law.

10. International Data Transfers

Orin may process data in the United States and other locations where service providers operate. Where required, Orin implements appropriate safeguards for international data transfers.

11. Changes to This Privacy Policy

Orin may update this Privacy Policy from time to time. Material changes will be communicated through the Services or by other appropriate means.
